Careers Privacy Statement
The purpose of this Privacy Statement for job applicants is designed to tell you about the information we process following your application. When we collect your information, we are acting as a data controller and, by law, we are required to provide you with information about us, about why and how we use your data, and about the rights you have over your data. Univet Ltd must comply with GDPR and this privacy statement for job applications has been prepared to inform you about how we process your information following a job application.
Univet are committed to doing the right thing when it comes to how we collect and protect your personal data. This policy has been developed to clearly define:

2. Explains how we use your personal data.
3. Explains when and why we may share your personal data within the Univet group and other third party organisations.

PERSONAL DATA DO WE COLLECT AND PROCESS?
Personal information is information that identifies you or could be used to identify you which may be submitted to the Univet website during the recruitment process. This section tells you what personal data we collect from you when you use our site during the recruitment process. To protect your privacy, you should not provide Univet with any information that is not specifically requested. Univet Ltd may collect the following information during the recruitment process, this is inclusive of up to and during the shortlisting stage of the recruitment process:
1. Your personal details, including your name and contact details (ie postal address, home and
mobile phone numbers, date of birth, title, email address);
2. Details of your occupation, qualifications, experience, employment history and interests;
3. Information regarding your “right to work” in Ireland, we may request information regarding your
criminal record (only if required for the position you are applying for);
4. Information you submit as part of any job applications (for example your career history, salary
and CV, details of your referees).
5. Information you may voluntarily submit as part of your application and any equal opportunities questionnaire, including any self-declared disabilities that we would need to make reasonable accommodation for to support your application and any future opportunities.
You are under no statutory or contractual obligation to provide data to Univet Ltd during the recruitment process. However, if you do not provide the information, we may not be able to process your application properly or at all.
WHY WE COLLECT THE INFORMATION
We will typically collect and use this information for the following purposes:
1. to take steps to enter into a contract;
2. for compliance with a legal obligation; and
3. for the purposes of our legitimate interest, which is to recruit a suitable candidate for the job.
We use this information for the purposes of our legitimate interests only if these are not overridden by your interests, rights or freedoms.
HOW WE USE YOUR PERSONAL DATA
1. We will use your personal data to review and process your application.
2. To keep you informed on its progress.
3. To resolve any grievances and complaints that may involve you.
4. We collect data regarding your right to work to comply with the law in employing you.
5. We collect data in relation to any criminal record checks to comply with company policy.
CHANGE OF PURPOSE
>We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so. Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where we are obligated by the law for government agencies, regulatory bodies and law enforcement agencies within the realmof that which is permitted by law.
DISCLOSURE OF PERSONAL DATA TO OTHERS
We may also need to share some of the above categories of personal information with other parties
who work with us and provide administration and support services, such as HR consultants and professional advisers. In order to avoid ambiguity, this would be for example when conducting right to work checks, candidate screening/assessment and if applicable criminal background checks. The recipient of the information will be bound by confidentiality obligations. We may also be
required to share some personal information with government agencies, regulatory bodies and law enforcement agencies as required to comply with the law.
INTERNATIONAL DATA TRANSFERS
Your personal data will not be transferred to and stored or accessed outside the UK OR European Economic Area (“EEA”) without your consent. It may be processed by companies operating outside the EEA who work for use or one of our service providers. If we do this, we will ensure that your privacy rights are respected in line with this policy.
We are committed to protecting the personal data you provide us. To prevent unauthorised access or disclosure of personal data under our control, Univet use computer safeguards such as firewalls and data encryption in order to safeguard the personal data we collect. We also enforce physical access controls to our buildings and files to keep this data safe, such as security gating system and key control. We only authorize access to employees who require this information to perform their job responsibilities. All personal information regarding a job applicant may be held on computer and/or in the employee’s file. Staff will keep personal data secure against loss or misuse. We train our staff about the importance of privacy and how to handle and manage data appropriately and securely. We may ask for proof of identity before we share your personal data with you. With all of the above inclusive and considered, Univet cannot absolutely guarantee the unauthorized third parties with necessary means will not gain access to your personal information, therefore, when submitting personal information to the Univet website, you must weigh both the benefits and risks.
UPDATING YOUR PERSONAL DATA
It is important that the personal data about you is accurate and current and all job applicants are responsible for ensuring that their personal information is accurate, complete and up to date. Job applicants should contact Univet Ltd to make any changes to personal information, including phone numbers, names or addresses.
We will not keep your personal data longer than is required, this may depend on several factors, inclusive of but not limited to, why we collected it, how old it is, whether there is a legal reason for us to keep it. If your application for employment is unsuccessful, the organisation will hold your data on
file for 18 months after the end of the relevant recruitment process. If your application for employment is successful, personal data gathered during the recruitment process
will be transferred to your Human Resources file (electronic and paper based) and retained during your employment.
YOUR LEGAL RIGHTS
By law, you have the right to see what personal data we collect about you, you have the right to request to have access to it, and you can ask us to correct it if it is inaccurate. You have the right to
have inaccurate information corrected, it is important that you notify us of any changes to your personal data so it can be updated as soon as possible. In those cases where we process your information for contractual reasons, you can ask us to give you a copy of the information. If you believe we are not using your information lawfully you can ask us to
stop using it for a period of time. In some circumstances, you may have the right to ask us to erase your personal data. You can also ask us to delete your personal data, this includes (but is not limited to), if you believe we no longer need to keep your personal data or we have unlawfully processed your personal data.
We would like the chance to resolve any complaints you may have, but you have the right to make a complaint at any time to the Data Protection Commission, the Irish supervisory authority for data protection issues (https://www.dataprotection.ie). In such circumstances, we would, however, appreciate the chance to deal with your concerns before you approach the Data Protection Commission, we would request that you contact us in the first instance on the contact details above.
CHANGES TO OUR PRIVACY STATEMENT
This policy replaces all previous versions and is correct as of March 2019 but without prejudice to your rights under applicable law, Univet reserve the right to amend the policy at any time to reflect technological advancements, legal and regulatory changes and good business practices. Any changes to our Privacy Statement will be available to you on request.
